A consulting firm’s onboarding process had grown organically into a tangle of manual steps. When a new client signed, the account manager would:
- Manually draft and send a welcome email
- Attach a PDF contract and wait for it to be signed and returned
- Email back and forth to schedule a kickoff call
- Manually create the client’s project folder and share it
The whole process took 1–2 days, and clients frequently fell through the cracks if an account manager was busy.
The solution
We mapped every step of the onboarding journey and automated it end-to-end using Make, DocuSign, and Calendly:
- A Typeform intake form collected all necessary client information upfront
- Submission triggered an automated welcome email with a personalised DocuSign contract
- Once the contract was signed, Calendly sent a booking link for the kickoff call
- A project folder was created automatically in Google Drive, structured and pre-populated with templates
- The internal team was notified in Slack with all details
The result
Onboarding went from 1–2 days of back-and-forth to a 45-minute automated sequence. New clients receive a polished, professional experience from the moment they say yes — and the team spends their time on delivery, not admin.
